Invitation for Hosting our Next End-Year Conference (October/November 2025)

Dear Members,

As we approach our upcoming conference in The Hague, we would like to take this opportunity to plan well in advance our 2025 end-year Conference.

For this, we are seeking the next gracious host and we invite all members to consider taking on this role. 

ExCom has identified the Far East as a preferred location due to the significant time since our last conference in that region. Nevertheless, all members are entitled to apply.

Hosting our conference presents a fantastic opportunity to showcase your nation’s unique culture and heritage. Additionally, it allows for networking opportunities and the chance to strengthen bonds within our community.

We kindly invite candidates to submit their interest to present in The Hague no later than March 15th.

Guidelines for the presentation’s content will be sent to all candidates at a separate email. 

In order to provide a clear understanding of what is expected when hosting a conference we have highlighted the main tasks which are necessary for organizing a successful event. 

These include supporting ExCom with the below:

  • identifying and comparing suitable hotels for conference attendees, 
  • arranging restaurants for all meals, 
  • curating a diverse social program, 
  • providing comprehensive details to assist participants throughout their stay, 
  • coordinating transportation if necessary, 
  • ensuring a secure environment for all guests, and 
  • acting as an intermediary for any issues that may arise during the conference and local support is of need.
